Human Resource Clerk

This position provides assistance to the Controller, President and Vice President in all areas of human resources while demonstrating a high level of confidentiality.

Required Skills:
Microsoft Office (Excel, Word) and general database entry. Good organizational skills.

Required Education:
Minimum 2 year Degree.

Typical Duties:
Maintain employment resumes and application forms according to company policy. In-process new employees and perform exit interviews for terminated employees. Maintain New Employee Packets including I-9, W-4, etc. Maintain log of all persons hired or terminated. Maintain employee personnel files according to company policies and government regulations. Retains records in accordance with company record retention requirements. Maintain employee name, address and telephone number list, as well as vehicle and license plate number list. Verify unemployment insurance claims and refers exceptions to the appropriate manager. Submit insurance claims to carriers for reimbursement. File documents in group insurance folders. Review monthly invoices from Major Medical Insurance, Dental Insurance, Long and Short Term Disability, Life Insurance and Workers Compensation to confirm any additions/deletions/edits which may be required. Schedule annual meetings with insurance agents for Major Medical/Dental/Life/Aflac, etc. for Controller, President and Vice President to confirm changes in policies and rate changes. Explain benefit plan provisions to staff. Explain personnel policies to staff, deferring tough or sensitive issues to the Controller, President or Vice President. Maintain files for Employee Handbook and updates. Review vacation, sick and personal time accrued and taken reporting to President and Vice President biweekly after payroll reports are completed. Maintain list of 3 month new employee performance review and advise Project Managers of approaching deadline. Prepare a schedule and checklist for Project Mangers to perform annual reviews. Maintain file of job descriptions. Order insurance certificates on a timely basis in accordance with project requirements and file accordingly. Maintains inventory of company keys (out and in). Maintains list of Professional Engineer and Land Surveyor Licenses, and other Certifications including expiration dates. Coordinate Health and Safety files and OSHA training certificates. Prepares annual Holiday Schedule for the next year for Presidents review in October.
